What the math assumes

Every shift takes the same coordinator time; the minutes you enter should be an average across easy recurring shifts and hard-to-fill ones.
The reduction percentage is your own estimate of what self-serve sign-up and automatic reminders remove; the default of 50% is a placeholder to test, not a measured result.
Time saved is valued at the hourly cost you enter, whether that is a paid wage or the value you put on unpaid hours.
Software cost is treated as a flat monthly figure; setup time, training and any annual-plan discount are not included.
Fewer no-shows, better retention and easier hour reporting are left out, so the estimate covers coordinator time only.

How do I estimate the minutes per shift honestly?

Track one week: note the time spent posting shifts, replying to questions, confirming people and sending reminders, then divide by the shifts filled. Most coordinators are surprised by the total.

What if our coordinator is a volunteer and unpaid?

Enter what an hour of their time is worth to your organization, or what you would pay a part-time coordinator. Unpaid time still has a cost: it is the hours that person is not spending on outreach or fundraising.

Is a negative net benefit a sign the software is not worth it?

For a very small roster, possibly. It can also mean the time benefit is small but the no-show and reporting benefits, which this tool leaves out, still justify the cost. Use the number as one input, not the whole decision.

Why is the return shown as a percentage?

It shows net benefit relative to the monthly spend. A return of 100% means the saved time is worth twice the subscription; 0% means it exactly breaks even.
